Dear OU Housing Resident,

 

I hope that you have transitioned home safely and are preparing for final examinations. Our records show that you have postponed your move-out until later this semester. Since the semester is almost at a close, it is time for students who need to return to campus to retrieve their belongings to do so, if possible. From May 10-17*, we will schedule structured move-outs for Adams, Couch, and Walker Towers, and David L. Boren Hall. You will only have building card access turned on during your residence hall's designated move-out time.

Move-Out Process

  • Log in to the Housing portal and sign up for a move-out day and time.**
  • Arrive to campus on your scheduled move-out date and time.
  • Remove all of your belongings from your room.
  • Adams, Couch, and Walker residents should return keys to the key box located on the first floor of your building. DLB residents may return keys to the key box on the first floor of Walker.
  • Email housinginfo@ou.edu informing us you have completed your move-out. If you did not turn in your key, note that in your email.

 **Note: You will not need to interact with any Housing staff. Therefore, if you have misplaced your room key, please contact the on-call for your building. They will assist you with accessing your assigned room.

 

 If you are unable to move-out during your residence hall's designated move-out time, please indicate this on your scheduler. All belongings must be moved out of your on-campus assignment by May 31. Items not moved by May 31 will be packed and moved to on-campus storage and available for pickup at a later date. Arrangements must be made with OU Housing prior to June 1 to utilize on-campus storage.

 

In order to best adhere to CDC guidelines for social distancing and space occupancy, we ask that you limit the number of guests accompanying you during your check-out. Adhering to your self-selected checkout time is imperative. Building access will be limited, and you will not have card access outside of your residence hall's designated check-out time.

 

Mail Forwarding

If you received an email notification from the Student Post Office regarding a package, please be sure to retrieve it as well. Packages at the Student Post Office in Cate Center Quad Four Oliver House are available for pickup Monday - Friday, 8 a.m. - noon. Dear Residential Colleges Residents:

 

Thank you for your patience as we continue to plan our on-campus housing move-outs. Our first priority when planning is to keep you and your family safe and healthy. We have developed a structured move-out plan that will allow you to retrieve your belongings and receive your housing and food refund sooner, while still maintaining all recommended social distancing guidelines.

 

From May 1-17*, we will schedule structured move-outs for Dunham and Headington Colleges. You will only have building card access turned on during your College’s designated move-out time.

Credits/Refunds

For students who elect to officially move-out of their on-campus housing assignment, the University will provide a prorated refund for housing and meals for the time period of April 1-May 9. Student refunds will be processed after the check-out process is complete with OU Housing. Please allow up to 4 weeks for processing. Students who remain in on-campus housing will not be eligible for a refund. Some students receiving University-funded housing and food aid may not be eligible for a refund.

Dear Traditions Square Resident,

 

I hope the end of the semester is going well as you prepare for final examinations. We understand that this semester has been challenging and would like to make your move-out process less stressful by extending the deadline to move-out past finals week. As a Traditions Square resident, you will be able to move out May 1-17 with no additional charges for the extra nights of May 10-17. For current Traditions Square Residents who are intending to remain in summer housing, please fill out a summer housing contract located in the Housing portal.

 

Spring Move-Out Process

  • Log in to the Housing portal and sign up for a move-out day and time.
  • Move-out on your selected date and time.
  • Remove all of your belongings from your room and common spaces.
  • Return your key to the key box located outside of your clubhouse.
  • Email housinginfo@ou.edu informing us you have completed your move-out. If you did not turn in your key, note that in your email.

 

*Note: You will not need to interact with any Housing staff. Therefore, if you have misplaced your room key, please contact the on-call for your complex. They will assist you with accessing your room if needed.

Clarification related to our April 1 update:

We apologize for how rapidly we are having to adapt our plans during this crisis.

We understand that different states have different orders in place currently, and individual families will make their own decisions regarding travel. Students are not required to move out during their window. When they log in to the Housing portal to view the checkout scheduler form, there will be an option for them to check that they are unable to move out during their window. This will allow us to know to include them in future move out plans.

By completing the scheduler form within the Housing portal, and either selecting a time or saying that they can't make it, they will be initiating the refund process. This form must be submitted for the refund process to start.

 

RESCHEDULED MOVE OUT AND REFUNDS

Dear Adams, Couch, DLB and Walker Residents:

While our move-out plans and directions have evolved to best keep you and your family safe and healthy amid the COVID-19 crisis, we have continued to listen to and incorporate your valuable feedback for planning. Through this feedback, and the advice of local and state health experts, we have developed a structured move-out plan that will allow you to retrieve your belongings and receive your housing and food refund sooner, while still maintaining all social-distancing guidelines.

Over the next three weeks, we will schedule structured move-outs for Adams, Couch and Walker Towers and David L. Boren Hall. Residential Colleges will be scheduled later. You will only have building card access turned on during your residence hall’s designated check-out time.

Tentative Check-Out Schedule by Tower
Adams Tower: April 1-6
Couch Tower & David L. Boren Hall: April 6-12
Walker Tower: April 13-19

Check-Out Process

MOVE OUT POSTPONED

Dear Housing Residents,

On behalf of Housing and Food Services, I again want to extend my sincerest thanks to you for your patience as we continue to adapt to the evolving COVID-19 crisis. We understand that everyone is coping with high levels of uncertainty. We want to be as transparent as possible about our current Housing processes and updates to them so that you have clarity for decisions that affect everyone’s health and safety.

The City of Norman announced a 21-day shelter-in-place order that runs Thursday, March 26 to Tuesday, April 14. For more information about this order, visit this link. As we continue to work with our City partners, the decision has been made to postpone our moveout process until the beginning of May. This information applies to residents of Adams, Couch and Walker Towers, David L. Boren Center and Dunham and Headington Colleges.

Card access for those not approved to remain in on-campus housing (excluding Cross, Kraettli, and Traditions) will be turned off on April 1 until further notice. This decision was made to protect the health and safety of those students who need to remain in on-campus housing because of extenuating, special circumstances.

For students NOT currently on campus:

Please do not return to campus at this time. We know many of you still have belongings in your room that you are worried about moving out. Your belongings will remain in your room until you are able to move them once we resume the check-out process.

For students currently on campus:

If you wish to remain in on-campus housing, you must complete our special circumstance form by tomorrow, Friday, March 27 at 5 p.m. for consideration to remain in on-campus housing. For those who have completed this form already, thank you. You will receive an email from Housing soon with further information.

Anyone who does not complete this form or receive approval to remain on campus will have card access turned off on April 1.

As a reminder, criteria for those allowed to remain on campus includes:

  1. International students who are unable to secure return travel home;
  2. Persons for whom their on-campus residence is their only home (including graduate students, postdocs, faculty, and staff for whom their on-campus residence is their permanent address); or
  3. Students for whom traveling home would present a severe health or safety risk. 

Refunds for Housing and Meal Plans

The postponement of the moveout process has no impact on the previously issued refund information for residents in Adams, Couch, and Walker Towers, David L. Boren Center, and Dunham and Headington Colleges.

SHELTER-IN-PLACE ORDER

Dear OU Housing Resident,

Later today, the City of Norman will announce a 21-day shelter-in-place order, to begin Thursday, March 26. Please note that the instructions previously sent to you as an on-campus residential student regarding access to housing and food services remain in place. Our existing housing policies and procedures require no changes at this time. Persons still residing in on-campus housing are encouraged to observe this order by practicing social distancing and only leaving the residence hall for essential activities, such as outdoor exercising, grabbing a to-go meal, moving-out or going to work. We will continue with our initial plan for students currently on campus to complete the check-out process (excluding Cross, Kraettli and Traditions) by March 31. You can access current housing and dining information including move-out instructions on this website. The special circumstances form can be accessed here. CHECKOUT PROCEDURES

Dear OU Housing Resident,

On behalf of OU Housing and Food Services, I would like to personally thank you for your patience as we navigate the unprecedented COVID-19 crisis. Reducing our on-campus housing residents has not been an easy decision; however, your health and safety is our priority. We recognize the many advantages of living on campus including daily forging of relationships, care and support from your peers and residence life staff, and the convenience and safety of living in close proximity to campus and one another. However, normal operations of our residence halls with our full population is challenging to maintain effectively given the state of our current public health crisis. For this reason, we are urging you to move from your university residence hall if possible.

We acknowledge this decision may create disappointment or uncertainty for some members of our community. Our hope is that this communication provides you with the information you need to transition back to your home and permit you to successfully complete your coursework for the remainder of the semester.

Please note that residents currently living in Kraettli and Traditions are not impacted by this change. You may remain in your current on-campus residence.

Students Who Remained On-Campus During Spring Break

We encourage you to officially check out from your housing assignment by Tuesday, March 31.

  • Complete the Express Checkout Form located in your housing portal.
  • Select a day and time for your checkout.
  • Please move and take all of your belongings with you as you will not have access to your room after you have checked out.
  • Once you have vacated your assigned space, drop off your key in the key box located outside the Housing Office in Walker Tower. Residents in Dunham and Headington Colleges will forgo this step.
  • Sooner Card access will be shut off once your checkout is complete.

Students Currently Not on Campus

If you are not currently staying in your housing assignment, please do not return to campus at this time. You will receive more information from OU Housing within the next week to schedule your move out. Our structured move out process will take place Monday, April 6-Saturday, April 18. All move out appointments must be scheduled prior to April 18. Your belongings will remain in your room until you retrieve them on your scheduled date and time. Please note that the scheduling is intended to adhere to CDC recommendations in regard to social distancing and space occupancy. Therefore, please limit the number of guests that accompany you to move your items. Adhering to your self-selected checkout time is imperative. Building access will be limited, and you may not have access if you come back to campus prior to your scheduled day and time.

Students Currently on Campus with Special Circumstances

We have developed the following criteria for students who will be allowed to remain in on-campus housing for the remainder of the semester. This includes:

  1. International students who are unable to secure return travel home;
  2. Persons for whom their on-campus residence is their only home (including graduate students, postdocs, faculty, and staff for whom their on-campus residence is their permanent address); or
  3. Students for whom traveling home would present a severe health or safety risk. 

If you have extenuating circumstances surrounding your housing needs, please complete and submit our Special Circumstance Form. We will review this request daily and work with students on an individual basis.

Due to the extraordinary circumstances, students choosing to stay on-campus will be asked to observe special precautions to maximize social distancing and assist in the University effort to ensure the health of the OU and Norman communities.

  • Outside guests are strongly discouraged in on-campus housing.
  • Dining Services will have limited hours and options.
  • It is possible given the rapid changing circumstances that we may have to relocate you.
  • Guidance from public health authorities may require additional actions on the part of students who remains in on-campus housing.
