COMMUNICATIONS
Good communication is imperative in any project of this size. We will use many of the lessons learned from the Exchange migration project last spring as we implement our communications plan. We will communicate with individuals and departments alike to make sure that all affected are aware of and prepared for the change.
Communications Timeline
- May 1 – Broadcast email to all students, faculty, and staff
- May 8 – Targeted (only to impacted users) weekly email reminders begin
- Mid-May – Targeted mailer (regular mail) to retirees, faculty, and staff
- 3 weeks out – Provide lists of impacted employees to departments
- Email needhelp@ou.edu to request a list for your department
- End of May – Note on May pay-stubs
- 2 weeks out – Broadcast email to all students, faculty, and staff
- 72 hours out – Reminder with new 4+4 and instructions
- 48 hours out – Reminder with new 4+4 and instructions
- 24 hours out – Final reminder
Ongoing Communications
- Posters and table tents in high use areas
- 4+4 story in the Oklahoma Daily
- 4+4 standardization website
- “Forgot your username?” form on the OUNet Account Page
- Discussions with UOSA/Student Congress, Faculty Senate, Staff Senate, CITL, OU IT partnerships, and other campus groups.
- Information posted on most-used log in pages and web-sites
