Panhellenic Association Formal Recruitment

Formal recruitment is the main process the National Panhellenic Conference sororities at the University of Oklahoma use to recruit new members. Formal recruitment is conducted before the start of fall semester and lasts 5 days. 

It is important to recognize that formal recruitment is a mutual selection process. All women will visit every sorority during the first round (Open House), but the remaining rounds are by invitation only. Just as the sororities are narrowing down the number of women attending each round of events, potential members may only accept a certain number of invitations to each round. The Panhellenic Adviser and Recruitment Guides (Rho Gammas) will explain the process in detail throughout the week. Each potential member will be assigned Recruitment Guides who will be available during the entire process to answer questions, provide support, and give valuable insight.

Participation in formal recruitment does not guarantee an invitation to join a sorority, nor does it obligate a woman to join. However, approximately 80-90% of the women participating in formal recruitment each year join a sorority at the end of the week!

We are excited that you are interested in joining the Panhellenic community at the University of Oklahoma. The information below should be helpful in preparing you for the 2018 Panhellenic Formal Recruitment process.

Wednesday, August 1Last day for a registration refund minus $15 service charge. All requests must be in writing and sent to the Panhellenic email at panhellenic@ou.edu.
Wednesday, August 8

8 - 2 p.m. - Potential members arrive and receive rooming assignments. Panhellenic Registration tents will be in between Adams Walker Tours in the mall area. After you have parked your car, please stop by our tent before you go to your room.

4:00 p.m. - Optional Parent Session at Jim Thorpe Multicultural Center

5:00 p.m. - Mandatory Potential Member Orientation in the afternoon. (Please check back for updated time).

Round II (Philanthropy Round) - 8 parties maximum

Bid Day - Bids Distributed at 2 p.m.

New members will receive their bids and report to their sorority chapter house. Families are welcome to join the new members at the sorority house. A Panhellenic representative will be downstairs in Adams Center with a list showing where each woman joined. (Please do not go to your student's room while the bids are being distributed by the Recruitment Guides.)

New Student Orientation Begins. All new members are encouraged to attend the OU Convocation at 4 p.m.

2018 Formal Recruitment Registration

Registration will open mid-May online at www.pan.ou.edu.

To participate in formal recruitment, you must be a full-time, undergraduate woman enrolled at the University of Oklahoma and registered with the University of Oklahoma Panhellenic Association.  Registration costs $200.  You must pay the fee in order to be registered with OU Panhellenic.  Make sure to have a high quality picture to upload when you register to include with your application.  Also, please be very detailed with the information you place in the activity boxes as this will be considered your resume. This information will be relayed to all 11 of our chapters.

The LAST DAY to register for Panhellenic Formal Recruitment 2018 is July 1, 2018.

Formal Recruitment Housing

All potential members participating in Panhellenic Formal Recruitment must live in the residence halls during the week. If you have a residence hall contract for the 2018-2019 academic year, you will be assigned your permanent room during this week.

Upper class and commuter students who do not have a residence hall contract for the 2018-2019 academic year will be assigned a temporary room for recruitment week.

The cost of living in the residence halls during formal recruitment is not part of your housing contract for the year. All women participating in formal recruitment must pay a housing fee and sign a contract. 

Questions regarding university requirements for living in or out of the residence halls for the academic year should be directed to University Housing and Food Services at (405) 325-2511.

Formal Recruitment Meal Information

Lunch and dinner will be provided on Thursday, Friday, Saturday and Sunday. Brunch and dinner will be served on Sunday.  Potential members must purchase all other meals. A local guide of restaurants is available here.  

Please be sure to note any dietary restrictions or food allergies in your recruitment registration. The Panhellenic Association is happy to accommodate all students. 

Recommendation Letters

Each national sorority has its own guidelines and its own recommendation forms that its alumna members must use.  OU Panhellenic Association does not provide these forms nor any information regarding an individual sorority’s recommendation requirements.  If an alumna is not familiar with her own sorority’s regulations, she should contact the national sorority.  The information is available in the alumna’s inter/national magazine or on the inter/national website. 

Recommendation forms should be submitted by August 1.  

If you do not know an alumna of a certain chapter it is inappropriate for you to ask someone that you do not know to write a recommendation form for you.   Each chapter knows that it is their responsibility to find a recommendation for women going through the recruitment process that they would like to pledge.

Formal Recruitment Frequently Asked Questions

It is important for you to be as informed as possible regarding the costs associated with obtaining a college education. Understanding the financial obligations associated with sorority membership is just as important.

Each woman joining a sorority should be aware of the dues, fees and other expenses that are involved and should consider these when making financial plans to attend college. During Formal Recruitment, a potential member should ask sorority members about financial obligations and payment options. Each sorority sets its own fees and housing costs as well as payment schedules.

The Panhellenic Association does not require a specific grade point average to participate in formal recruitment.  However, each sorority has a minimum grade requirement to be considered for membership and initiation.  The average grade point for a freshmen to join is around a 3.2. and the average grade requirement for an upper-class student is around a 3.0. These grades are pulled from university records. 

Entering freshmen can expect to be scored on the grades that they were admitted to the university with. Upperclassman can expect to be scored on their overall GPA from the Spring 2018 semester. 

Should your academic records ever be updated with the university records office, please notify Panhellenic as well so we can make those changes in our records. You can simply email Panhellenic (panhellenic@ou.edu) with your name, student ID number, and a brief message telling us that your academic records have changed with the university. 

Most chapters look for a four year commitment; however most of our groups do consider upperclassman in their process. Fewer upperclassmen go through and fewer join chapters. We cannot predict any one person’s recruitment experience.  The best advice is to go through the process with an open mind.  

A legacy can be defined differently by each chapter, but most commonly, a legacy is defined as a potential new member who is the sister, daughter, or granddaughter of an alumnae sorority member.

If you are legacy you are not guaranteed a bid to your legacy's chapter house.  It does not hurt or help to be a legacy; it just notifies our chapters that you have a family member that was a part of that specific organization.  Each chapter looks at the individual going through and will make their decision on what is best for their group at that time.    We would encourage you to go through the process with an open mind. 

The registration fee includes meals for all days of Formal Recruitment except Move-In Day, Preference Round (Round 4), and Bid Day. This also pays for 2 Panhellenic t-shirts, which will be worn on day 1 and 2 of Round 1.

If a potential new member maximizes their optionson preference round, a bid is guaranteed from one of the chapters.

 

The registration fee is refundable, however there is a $25 service charge. Refunds must be made by August 1st and sent into the Panhellenic office in writing.

The Panhellenic Association will verify grade and test information from a potential new member based off of what she was admitted to the University of Oklahoma with. If a potential new member's academic records are updated with the university, please email Panhellenic (panhellenic@ou.edu) with your name, student ID number, and a brief message explaining that your academic records with Panhellenic need to be updated.

Two Panhellenic t-shirts will be provided for potential new members to wear on Round 1, day 1 and 2. 

Helpful hints: 

  • Consider bringing a change of shoes. There is a lot of walking during recruitment from chapter facility to chapter facility and bringing a change of shoes is strongly advised.
  • Plan ahead. Many women find it helpful to bring a bag with them with face towels, personal fans or cosmetic products. 
  • Water is provided for women going through the recruitment process but bringing a water bottle is advised as well. 
  • Don’t be afraid to ask for tips. Recruitment guides are great resources for women going through the recruitment process and can provide helpful hints and tricks for a positive experience.
