Exam Processes

   
The processes on this page are for the Fall 2022 semester and will be updated as necessary. 

A formal Exam Policy is being finalized and will be posted upon completion.

Exam/Quiz Scheduling

  • Proctoring hours will begin at 8:30am and end at 4:30pm; all exams/quizzes must be completed within these hours
  • Registered students are not required to take their exams in the ADRC testing center, however the ADRC cannot guarantee exam accommodations for exams taken in the classroom
    • Unless prior arrangements have been made with your instructor, choosing to take an exam/quiz in the classroom is choosing to take the exam/quiz without accommodation
  • Exam start times will occur in 15-minute increments with a limited number of spots available
    • Students should contact the ADRC as soon as possible if there is no available start time which will allow the use of exam/quiz accommodations and will not interfere with their course schedule
  • Students are expected to schedule their exams at least three university business days in advance
  • Students should schedule their exam/quiz start time for the same start time as the rest of the class or as close to that time as possible.
    • If there are no available spots at the class-scheduled start time, students should schedule their exam/quiz such that it reasonably overlaps the time their peers will be taking the exam/quiz: 
      • Schedule to begin the exam/quiz before the scheduled class start time and complete the exam/quiz after the scheduled start time.
        • If the exam/quiz is completed before the class begins taking the exam/quiz, the student will be expected to wait at the ADRC, without access to electronic devices, until the scheduled class start time.
      • Schedule to begin the exam/quiz after the scheduled class start time within a reasonable timeframe:
        • Unaccommodated exam/quiz time of 50 minutes:
          • No more than 15 minutes past the class start time
        • Unaccommodated exam/quiz time of 75 minutes:
          • No more than 30 minutes past the class start time
        • Unaccommodated exam/quiz time of 90+ minutes:
          • No more than 45 minutes past the class start time
      • Example: A student with extended time (1.5x) is in a 50-minute class that has an exam on Monday at 10:00am but there are no available spaces at 10:00am; the student can schedule their exam/quiz to start at any available time between 8:45am and 10:15am.
      • Example: The above student schedules their exam/quiz for 8:45am and finishes at 9:45am; after turning in their exam materials, they must wait at the ADRC until 10:00am to leave
  • If the class will be taking the exam/quiz outside of ADRC proctoring hours, the student will be able to schedule their exam to start at any available time on either the day of or the day after the scheduled exam/quiz date per departmental/instructor preference; it is the student’s responsibility to communicate with their instructor to determine the appropriate day
    • If the instructor has a time preference for students to begin their exam within our proctoring hours, and that time does not interfere with the student’s course schedule, this preference will take priority over the aforementioned
  • If a student is unable to take their exam on the same day as the rest of the class, it is their responsibility to coordinate an alternative date with the instructor and the ADRC

Late Exam/Quiz Scheduling

  • Exams/quizzes scheduled less than the required three university days in advance can still be scheduled in iAdvise and may be taken at the ADRC
    • Failure to schedule the required three university days in advance may result in the ADRC being unable to proctor the exam/quiz
  • Exams/quizzes scheduled less than three university days in advance are subject to availability; no exceptions will be made for students needing an unavailable start time
  • If there are no available start times which reasonably overlap the time period in which the rest of the class will be taking the exam/quiz, the student is responsible for coordinating with their instructor to take the exam/quiz at a different time on the same day at the ADRC or arrange a time and place to take the exam/quiz with their instructor, at the instructor’s discretion
  • Students who scheduled their exam/quiz less than three university days in advance may experience a delay in the start of their exam until such time that all other students scheduled at that time have been started and there is an available spot
    • Students will be allowed access to written materials during this delay but all electronic devices must be silenced and put away at the scheduled start time
    • Any delays in start time will not be subtracted from the student’s allotted exam/quiz time, however proctoring hours will not be extended past 4:30pm
    • If a student chooses to leave during this delay, written instructor permission will be required in order for them to take the exam/quiz at a later time
  • Exceptions: Students requesting an exception on the basis of the following must provide written evidence to support their request
    • Rescheduled exams/quizzes if the initial sign-up was made within the required timeframe
    • Exams/quizzes which were not announced at least three university days in advance
    • Exams/quizzes which are rescheduled due to the use of an approved reasonable accommodation

Online exams

  • Students taking an online exam/quiz are expected to do so on their personal computers
  • Due to limited availability, ADRC computers are reserved for students requiring adaptive technology
  • To protect academic integrity, instructors have the option to indicate on the proctoring form the requirement of a lockdown browser such as Respondus; fee-based programs may not be used
  • The ADRC will proctor in-person exams which may be taken remotely, however students are encouraged to take such exams remotely as their disability and/or accommodation allows

Exam/Quiz Delivery

  • ADRC staff will no longer be routinely sending email reminders on the day prior to an exam/quiz; any such email will be provided as a courtesy and should not be relied upon for notification to send exam/quiz materials
    • Best practice is to send exam/quiz materials for every student for whom an Accommodation Memorandum has been received, regardless of the receipt of notification that the student intends to take their exam/quiz at the ADRC
  • Exam/quiz materials may be delivered to the ADRC via fax, via email, or in-person by the instructor or the student
  • All materials should be delivered at least one full university day prior to the scheduled start time to allow ADRC staff sufficient time to prepare the exam/quiz prior to the student’s arrival
  • Materials delivered after 3:00pm on the university day prior to the exam/quiz may not provide ADRC staff sufficient time to prepare the materials in advance of the student’s arrival
  • If a student scheduled their exam/quiz at least three university days in advance, it is unreasonable to expect a student to wait at the ADRC for an extended period of time while ADRC staff attempts to obtain the exam/quiz materials from the instructor
    • In the event that a student arrives and exam/quiz materials are not able to be prepared within 15 minutes of the student’s scheduled start time, ADRC staff will notify the instructor and the instructor will be responsible for coordinating a time and place for them to independently proctor the student’s exam with their accommodations at the student’s convenience
  • In instances where the student did not schedule their exam/quiz at least three university days in advance and the ADRC does not have the exam/materials when the student arrives, the ADRC will attempt to obtain the materials from the instructor, however if unsuccessful within 15 minutes, the student will be responsible to notify the instructor and coordinate a time and place to take the exam/quiz at the instructor’s convenience and discretion

Exam/Quiz Return

  • Completed exams/quizzes may be picked up in person or delivered to the instructor via student return
  • For exams/quizzes being picked up in person, a valid photo ID is required and must match the name on the proctoring form
    • If an instructor wishes to send a designate, this information should be noted in the “Return Exam By” section and must include the person’s name
  • Exams/quizzes being delivered via student return will be delivered by the student to the instructor in a tamper-evident sealed 9” x 12” manila envelope, wrapped with tape, and stamped or initialed by the ADRC for validation
  • The return envelope will have the completion time for the reference of the instructor
  • Students are expected to deliver their completed exam/quiz to the appropriate location immediately upon leaving the ADRC unless prior arrangements have been made with the instructor
  • Completed exams/quizzes which are not able to be delivered the same date will be held in a locked cabinet at the ADRC overnight
    • The student will be expected to retrieve and deliver the exam by 9:00am the following university day unless prior arrangements have been made with the ADRC and the instructor
