PeopleSoft Consolidation to Enhance Efficiency and Functionality
In October 2019, the University of Oklahoma launched the Compass Project to implement single systems delivering PeopleSoft Financials and PeopleSoft Human Resources for all university campuses.
The new single financial system will go live early in July 2020, and the new HR system will launch in January 2021.
The Compass Project team, composed of employees from Financial Services, Human Resources and Information Technology, will prepare and lead the OU community through the transition to these new systems.
Kenneth D. Rowe, senior vice president and chief financial officer, said the project team has been hard at work to ensure this transition is as seamless and user-friendly as possible.
“The project team has published virtual Town Hall presentations that detail the changes to the financial systems and will host a series of Ask the Expert phone conferences to answer questions on key topics including procurement, payroll and accounts payable,” Rowe said.
In order to gain access to the new system, employees must complete the required online training videos that will be available through the OnPoint LMS. The number of trainings employees must complete will depend on their role and specific duties. Trainings will be available in late June, and notifications on how to access the videos will be distributed in the coming weeks.
After employees have completed the training, they can submit a PeopleSoft End User Security Access form to gain access to the new system. The form will be located on the Norman campus and Health Sciences Center Financial Services websites, respectively.
“The new integrated system will make the university more efficient and enable executive leaders to have more insight and control of university finances,” Rowe said. “It will also streamline business processes, provide improved analytic capabilities and reduce the number of departments being tracked from nearly 6,000 to less than 900.”
