How to Join Us...Institutional Membership

Institutional Membership in the consortium is offered by invitation to two-year and four-year colleges and universities. Membership is subject to the approval of the Center for Institutional Data Exchange and Analysis at the University of Oklahoma. Member institutions are required to complete and submit the annual CSRDE survey on freshman retention which will be collected in March '08. See the Calendar. Request a membership packet that includes information on fees as well as samples of CSRDE survey and report formats.

Application Process

Membership year

  • The CSRDE Membership year is from October 1, 2007 through September 30, 2008.
  • Membership applications are accepted throughout the year, however, membership fees are not prorated.
  • New Institutional Members are advised to get applications in by December 17, 2007 in order to have adequate time to be oriented to the survey and to gather data. See Description of the surveys.

Roles of Institutional Representatives

  • Main Contact. Member institutions will designate one senior member of the executive team who will serve as the institution's Main Contact.
  • Institutional Data Assistants. The Main Contact may appoint one (or more depending on Level of Membership) Institutional Data Assistants (IDAs). IDAs will be given access to our online data collection facilities so that they can upload and download survey data. They will receive copies of communications from the CSRDE that are sent to the Main Contact.

Both the Main Contact and the Institutional Data Assistant are institutional appointments. Should there be changes such that these individuals are unable to fulfill their roles, the institution may make appropriate substitutions by contacting the CSRDE office.

Access by other interested members of the Institutional Community

Should you have faculty or staff who are not involved in data reporting but have an interest in accessing other resources in our web site, please refer them to the Individual Membership in the Community of Practice. These individuals are not provided with data access.

Overview of CSRDE Services (as shown in Membership Levels Table)



A. Main Contacts


Each institution will appoint one person to be the CSRDE Main Contact person. This person is typically a senior member of the institution’s management team and has primary responsibility to ensure that data has been submitted to the CSRDE in a timely and complete fashion. The Main Contact person will receive a unique username and password to access CSRDE electronic resources and will have permission to download survey forms and submit completed forms through the protected CSRDE website. This person also agrees to receive electronic and standard mail, as well as phone communications periodically from the CSRDE. Copies of the CSRDE published reports to which the member institution is entitled will be sent to the Institutional Contact.


B. Institutional Data Assistants (IDAs)


Institutional Data Assistants will receive a unique username and password to access the protected CSRDE website, and will have permission to download survey forms and submit completed forms through the website, as well as access electronic resources. The IDA will also receive copies of routine electronic communications sent to the Institutional Contact.


C. Webinars


The Consortium hosts a monthly webinar series. A cost effective way to stay on top of current research, each webinar registration makes it possible for one person or a whole auditorium of people to become more informed on topics of interest. For a schedule of the 2007-08 CSRDE Webinars, please visit our website at http://csrde.ou.edu. The schedule is also printed on the back of the CSRDE Membership Registration form.


D. Surveys


All institutions are required to submit complete survey data for the CSRDE Freshmen Retention and Graduation Survey. Four-year institutions may also participate in two optional surveys at no additional cost: The Science, Technology, Engineering and Mathematics (STEM) survey, which tracks the retention and graduation of STEM majors; and the Community College Transfer Survey, which tracks the retention and graduation of students who transfer into four-year institutions with 30 or more credit hours.


E. Reports


The CSRDE prepares a separate annual CSRDE Retention Report for both four-year and two-year institutions. Each contributing institutional member will receive a copy of the 100+ page report that includes tables and analysis of retention data reported by member institutions and shows comparisons of aggregate retention and graduation rates by institutional characteristics and by gender and ethnicity.


Members who contribute complete data for the required freshmen survey are also eligible to receive a customized peer report that contains benchmark data of a self-selected peer group of five to 20 institutions. There is no additional charge for this report.


Four-year institutions who submitted data for the two optional surveys will receive a summary report on the survey, as well as have the opportunity to request a peer report on the survey data.


F. Online Reporting Access


The CSRDE Quick Query System will allow Institutional Contacts and IDAs to access summary data from the CSRDE protected website. Your level of membership will determine the type of data that you can access.


G. Access to Effective Retention Practices Knowledge-base


Each year the CSRDE conducts peer reviews of innovative programs and strategies that have been useful at member campuses. We highlight the best of these practices annually with our CSRDE Best Practices Award. CSRDE members receive access to these papers as well as presentations from the annual National Symposium on Student Retention.


H. Discounts on CSRDE conferences, webinars, and certificate registrations


The CSRDE hosts the annual National Symposium on Student Retention where colleagues gather to hear the latest research and discover how other institutions are successfully addressing issues related to student success and retention. The Consortium also hosts a monthly webinar series which provides participants with up-to-date information on topics of interest, from the convenience of their home or office computer or conference room.


In addition, the University of Oklahoma is now offering the Leadership in Student Retention and Success Certificate. Developed by CSRDE, this interdisciplinary certificate is intended to equip current and emerging campus leaders with the knowledge of student retention dynamics, experience in strategic processes, and the collaborative leadership skills needed to mobilize themselves and others towards common institutional goals for student success.


CSRDE members receive discounts for each of the activities listed above.

The Application Process for Institutional Membership

  • Please contact the CSRDE office for membership information.
  • Complete the CSRDE Contact Form, designating one Main Contact and at least one Institutional Data Assistant.
  • Submit the contact form, invoice and payment to the address on the payment form. Or, alternately, pay by credit card by calling the number on the payment form.

Once we have received all forms and payment, we will contact the Main Contact and the IDA(s) with information on how to log into the CSRDE portal.
