General Information

  1. Where is Payroll Services located on campus? Payroll is located at 905 Asp Ave. Room 244, Norman, OK. 73019. The Payroll office is open  from 8 a.m. until 5 p.m. Monday through Friday. The Payroll lobby is open for walk-ins from 8:30 a.m. until 4:30 p.m.

  3. How do I combine years of service for past - current university positions? To verify previous OU employment you may complete a Previous Employment Verification request form and return the form to HR Records to link service time from a previous position to a current position. For the request form and more information please visit the Employment Verification - Current Employees page under Verifying Previous Employment.

  5. I just got married/divorced. How do I change my last name? You will need to bring your Social Security card with your NEW name to HR Records on the first floor of the NEL, room 122. You do not need to provide your marriage license and/or court records.

  7. Why do I need proof of my Social Security Card? All new employees should present an original Social Security Card at the time of hire. If you do not have an original card, you should apply for a replacement card from the Social Security Administration. The closest Social Security Office is located at 200 NE 27th Street in Moore Oklahoma. There is no charge for replacement cards. A Social Security Card is needed to ensure that we are reporting wages under the correct name and number. NOTE: Only a person's official social security card is acceptable for tax identification purposes. A social security card is invalid if it has been laminated. Metal or plastic reproductions of social security cards are not acceptable.

  9. How do I change/update my first name? You can only have a "preferred" first name, however, your last name must remain as your legal name matching what is on your social security card. To change your first name you must complete a "change of name" form to list your preferred name, or, email HR Records at HrRecords@ou.edu and provide your Sooner ID or Employee ID and the requested preferred first name.Why I need proof of my Social Security Card?

Paycheck Information

 
  1. I think my paycheck amount is wrong. What should I do? If you need personal assistance, please email a question by using the survey tool on the Contact page, or call directly to speak with a Payroll Technician at (405) 325-2961.

  3. There is a Non Cash Benefit (NOB) on my paycheck. What is this benefit? A non cash benefit is any benefit that an employer pays for an employee that is of a private nature.  If you need personal assistance, please email a question by using the survey tool on the Contact page, or call directly to speak with a Payroll Technician at (405) 325-2961.

  4. How do I report worked “overtime” hours? When entering time, only report actual hours worked. The system determines if overtime is owed based on the amount of hours entered for each week (hours exceeding 40+). Do not calculate the overtime rate separately as the system will convert the rate of pay when the time is loaded to payroll.

  5. How do I change/update direct deposit information? Direct deposit can be updated via Self-Service or by obtaining a direct deposit form from the Human Resources website and submitting it to HR Records.

Payroll Tax Information

  1. I did not receive my W-2. How can I receive a new copy? If you are a current employee, you can access your W-2 in Self-Service. If you are a current employee OR you are no longer employed by the university, you can access your W-2 through My Tax Form. See the Online W2 & 1095-C for more information.

  3. I am no longer an employee. How can I get a copy of my paystub? You can pick up a copy of your paystub in the Payroll Services office, NEL Building, room 244. You may also request a digital copy by sending a request via the Contact page. When submitting requests in writing, please include your date of birth and the last four digits of your SSN for verification.

  5. My W-2 does not reflect my Social Security and/or Medicare taxes being withheld, is this an error? Social Security and Medicare is also called FICA tax.  The IRS permits certain students to be exempt from paying FICA when they work at the college they are attending (Internal Revenue Code 3121(b)(10)). Please contact our office if you are not a student and Social Security and Medicare taxes have not been withheld.

  7. I can't get my W-2's or paystubs to open in PeopleSoft? You may not be able to open your earnings statement PDF in Self-Service if your Internet browser's pop-up blocker is turned on. Turn off the pop-up blocker or temporarily disable it by pressing and holding the "Ctrl" key on your keyboard while clicking the PDF hyperlink.
